An application to coordinate employee transportation for shift-based operations at an industrial plant. It digitizes trip planning, driver assignments, and employee notifications.

Shift-based employee transport planning

The Challenge

The previous system relied on manually exchanging Excel spreadsheets between shift supervisors, transport managers, and drivers. If anyone delayed sending or receiving the plan, the entire operational flow fell behind. Making changes to a plan that had already been sent was also cumbersome and impractical.

Employees, meanwhile, had no way of knowing the pickup order, who would pick them up, or the exact pickup time. They only knew when their shift started and had to guess when the shuttle would leave, creating uncertainty and poor communication.

The new solution had to support agile shift and trip management, administration for every actor involved (employees, drivers, shift supervisors, and transport managers), and automatic synchronization with clear, integrated communication inside a single digital system.

The Solution

The solution combined a web platform for administrators, plant supervisors, and transport managers with a mobile app for drivers and employees. The entire planning, assignment, and trip execution process was centralized and automated in one digital system.

  • Planning: Plant supervisors schedule staff for each shift, fully replacing Excel spreadsheets.
  • Trip organization: Transport managers receive those schedules and organize trips, defining routes and assigning carriers.
  • Driver operations: Drivers access their assigned trips from the mobile app. Each trip shows the real-time passenger pickup order and stop details, including map navigation.
  • Employee autonomy: Employees can see available shifts, subscribe or unsubscribe based on availability, giving them more control and reducing the operational load on transport managers.
  • Live visibility for employees: When a trip starts, employees can see the shuttle position, passenger pickup progress, and an estimated arrival time to their home.
  • Automatic notifications: The whole system runs on real-time notifications. Every actor receives updates about key events such as trip assignment, start, progress, passenger pickup, and route completion.

This solution unified every workflow in one digital environment, improving efficiency, trip traceability, and communication across all participants.

The Result

The new system marked a turning point in internal transport coordination. Shift supervisors left manual spreadsheets behind and now schedule each workday from an agile, centralized platform. Transport managers gained a tool with full visibility to organize routes, assign carriers, and make faster, more accurate decisions.

Drivers access their trips from a mobile app that shows the route, pickup order, and next address in real time, giving them more autonomy and reducing the need for constant follow-up. Once a trip starts, the system activates in sync: everyone involved is automatically notified, from the shift supervisor to every passenger. Employees, who previously only knew when their shift started, can now follow the shuttle live, understand their place in the pickup order, estimate the exact pickup time, and manage their shift subscriptions on their own.

This digital ecosystem replaced uncertainty and disorder with a clear, connected, and traceable environment. The solution optimized time, improved the experience for every actor, and raised the bar for transport management in complex industrial environments.

"The application completely improved transport coordination at the plant. Operators now know when and where the shuttle is coming, which reduced uncertainty and helped us optimize time and resources."

Technologies

Quasar Framework and Vue.js were used to build modern, responsive interfaces for both web and mobile. State management was handled with Pinia, creating a smooth experience for end users.

The backend was built with NestJS and PostgreSQL, providing a scalable, modular architecture to support users, shifts, and trips.

The platform was deployed on Railway, while notifications were handled through Firebase and email services.
